We often receive many questions. That makes sense, because as a volunteer property manager, you often deal with the same issues. That's why you'll find the most frequently asked questions answered here. It saves you time and us repetition. Efficient — that's how we like it.
Any co-owner in a building can become a voluntary syndicator. Whether you own the penthouse or a parking space: it does not matter. It can be done either as an individual or through a company.
No diploma or official recognition is required. What does matter: that the general meeting of the Association of Co-owners (VME) officially appoints you, and that you are willing to take on all the tasks of a syndic.
In practice, co-owners often choose someone who knows the building well and is willing to invest time and energy. But with a healthy dose of enthusiasm and with Synt, management immediately becomes a lot more manageable and workable. After all, you have both a platform and a team to support you.
A voluntary syndic is a co-owner who takes charge of managing the building. You make sure everything stays in order: the accounts, collecting contributions, maintenance and inspections, the documents, the general meeting and the follow-up of decisions taken there. Sounds like a tough assignment, but with Synt it becomes clear and workable. Everything is in one system, so you save time and headaches while retaining control, without it becoming a full-time job.
A voluntary property manager is officially appointed during the general meeting of the HOA. There, an absolute majority decides who takes on the task. It's important that this appointment is recorded in the minutes. With Synt, you always have these documents clearly organized and shared with all co-owners.
The mandate legally lasts a maximum of three years, but is usually reconfirmed annually during the general meeting. This gives co-owners the chance to evaluate and change if necessary. With Synt, you can easily show what has happened, making that evaluation transparent and fair.
In most buildings, this is done unpaid, simply as commitment for the co-owners. However, the general meeting can decide to award compensation — for example, a flat-rate cost or a reduction in your own contribution. Everything that is decided is recorded in the minutes.
A voluntary property manager must also comply with the basic obligations from the law: keeping accounts, collecting contributions, organizing general meetings and keeping the building legally in order. So you have fewer formalities than a professional, but the core responsibility remains the same. With Synt, you automatically get reminders and follow-up, so you don't forget anything. With Synt, you get automatic reminders and follow-ups, so you don't lose track of anything. And we are happy to advise you, so you are correctly insured to take on your responsibilities.
Resignation is always possible, but it must be done through the general meeting. It appoints a successor and you ensure a correct transfer of documents and data. If you work with Synt, that transfer is simple: everything is already centralized in the app and ready to take over.
Yes. A voluntary syndic is and remains a co-owner and therefore has ordinary voting rights at the general meeting. Your role as syndic does not change that. The only thing that is not possible: being both trustee and chairman at the same time. You cannot combine these two roles.
A budget is and always will be an estimate. Sometimes you're right, sometimes you're a bit short (or have a little left over). At the end of the year, this is corrected in the final statement.
If you notice along the way that the cash is running out faster than expected, you can always submit an additional, substantiated request to the co-owners. Often, unforeseen costs throw a wrench in the works.
With Synt, you always have a clear overview of income and expenses. This way, you can easily present the situation to the VME (Association of Owners' Association) and make decisions based on facts, not gut feeling.
No, a separate contract is not legally required. The appointment of the voluntary property manager happens through the decision at the general meeting of the HOA. That decision is legally binding and is recorded in the minutes. That is essentially your contract.
HOA (VME in Dutch) stands for Home-Owners Association. In other words: the legal entity that unites all the owners of a building. Every building with more than two different owners therefore has a VME. Every co-owner is automatically part of it. The VME comprises three legally required bodies: the annual general meeting, the (voluntary) syndic, and the auditor. By meeting annually, each co-owner keeps a finger on the pulse regarding the building's management. Each co-owner also receives an update on the costs incurred in the past (financial) year and an overview of the planned costs for the coming (financial) year. You can also decide, apart from the financial aspects, to have certain works carried out or to appoint suppliers. With Synt, the VME gets a shared platform where everything runs clearly and transparently. No more separate WhatsApp groups or stray emails: everyone sees the same thing, in one system.
Read more »It's not mandatory, but strongly recommended. As a voluntary property manager, you make decisions on behalf of the building and can be held liable for errors or negligence. Think of a missed inspection or an incorrectly processed invoice. Liability insurance gives you protection and peace of mind. Synt helps you with this: we work with insurance partners who offer special policies for voluntary property managers.
The biggest risk is that you are held personally responsible for errors or negligence. Also, managing a building can quickly absorb more time and energy than expected. That's where Synt comes in: we take a lot of work off your hands, make complex matters understandable and ensure you don't forget anything. Add liability insurance to that, and your risks are well covered.
Throughout the year, it's mainly about paying invoices and following up on administration. Additionally, you organize the general meeting once a year. With Synt, all this happens much faster: payments and documents run automatically, and the meeting is prepared in the app and runs structured. This keeps the effort limited and clear.
Every HOA is required to appoint a property manager, but they don't have to be professional. Often buildings choose a voluntary property manager because a traditional property manager is too expensive or hard to find. So it's not a personal obligation, but sometimes the only workable solution. Thanks to Synt, it no longer feels like a sacrifice, but like a feasible and clear task.
No. Every co-owner is legally obligated to contribute their share of the common costs. If someone doesn't pay, the HOA can take legal action. With Synt, you make this process clearer: everyone sees exactly who has paid and which costs are outstanding. This avoids endless discussions and makes it harder to "forget" to pay.
No problem. The general meeting can appoint a new property manager. The only thing that's often difficult is the handover: documents, accounts, agreements… You easily lose track of that. With Synt, the handover is simple. Everything is in the app: neatly centralized and ready for the next property manager.
A professional trustee is an external service provider for a fee, often with several buildings under management. A volunteer syndic is a co-owner who takes on the task within his or her own building. The advantage is that you know your building and its occupants well. Maybe this role feels a bit big at first. But with Synt, you combine the advantages: you retain the involvement of a co-owner AND you get the professional tools and support you need - without the intervention of a large syndic company.
A traditional property manager often costs hundreds of euros per month, even for small buildings. This makes it an expensive solution for small HOAs. Synt offers a much more affordable alternative: you manage your building yourself, but with a complete system that makes everything clear and simple. So you have the advantages of professional management without the high bill.
