What do you need to do, and when?

As a volunteer syndic, you become responsible for legal deadlines nobody explains. Here they are at a glance. And for each deadline, you can read what Synt prepares for you. Don't worry: you don't need to know this by heart.

At the start within 8 working days

Register the association with the KBO/BCE

Every association of co-owners must be registered in the Crossroads Bank for Enterprises (KBO/BCE), the Belgian business register. The deadline runs from the date the association is created.

At least once a year 15 days in advance

Convene the general meeting

The invitation with the agenda must reach every co-owner on time. Convened too late? Then the decisions taken can be challenged.

After the meeting within 30 days

Send out the minutes

The minutes of the general meeting must reach all co-owners within the month. Forgetting isn't an option: it's a legal deadline.

Ongoing every year

Build up a reserve fund

The law requires a reserve fund: each year at least 5% of the ordinary common charges, for major works later on.

Ongoing every quarter

Request and follow up advance payments

The common costs must be requested and paid on time, and followed up when payments are late, each according to their share.

When a unit is sold on request

Provide information to the notary

When a co-owner sells their unit, the syndic must provide the notary with the legally required information about the association of co-owners.
